Intacct Sync Guide: Create a Bill.com Sync User in Intacct

Create a user at the Root/Top Level in Intacct and give it full permissions. For multi-entity Intacct environments, if you have multiple Bill.com accounts syncing with the Entity Level, you will use the same sync user credentials in Bill.com, and distinguish each by adding the Entity ID when you enter your Intacct Login Info. 

Sync user creation

To create the Bill.com Sync User, complete the following steps in Intacct at the Root/Top Level

  1. Go to Company > Users > Add
  2. Enter the following field values:
    • Enter XML_Bill.com 
      • This username indicates a non-billable user and is used strictly for the integration
    • Use the email address of the person managing the Bill.com account or the sync
    • Select Business 
    • Select Full
    • User ID, Last name, First name: 
    • Email address: 
    • User type: 
    • Admin privileges: 
    • Check Keep my password until I reset it
    • Check Web Services Only
      • IMPORTANT: If this checkbox is not enabled, this user will become billable
  3. Click Save
    • Once the XML_Bill.com user is created, you will receive an email from Intacct containing a password

Permission assignment

Intacct supports two methods of assigning user permissions, user-based and role-based. To assign permissions to your Bill.com Sync User, follow the steps specific to your permissions method below: 

User-based 

  1. Go to Company > Users
  2. Click Subscriptions to the right of the XML_Bill.com user
  3. Click Permissions to the right of each module 
    • Ensure that all permissions are enabled within each module, saving your changes as you go
  4. Once all permissions have been granted, click Save 

Role-based  

  1. Go to Company > Roles > Add 
  2. Enter a role Name and Description                                                                                                                                                                                    
  3. Click Save      
  4. Click Permissions to the right of each module
    • Ensure that all permissions are enabled within each module, saving your changes as you go 
  5. Once all permissions have been granted, click Save
  6. Assign the role to the XML_Bill.com user:
    • Go to Company > Users
    • Click Edit to the left of the XML_Bill.com user
    • Click the Roles information subtab
    • Select the Bill.com role from the Role name dropdown menu
    • Click Save
